Faculty, staff and students may find the following resources and information helpful when planning and promoting a campus event. Please note, these are suggestions and you do not need to complete every step in every category nor will every category be relevant to your event.
Getting started
All community members should review the University event planning resources provided by Auxiliary Services. This guide includes important information on event space reservations, planning checklists, campus signage policies, alcohol policies, food truck requests and more.
Students should also review the Student Event Policies and Procedures from the Office of Campus Life. This includes student event hosting policies, how to officially register student events in 25Live and how to get your posters/flyers approved for distribution.
Designed promotional materials
If your event will be promoted only to the internal campus community (and not externally to the public), please rely on these design templates which allow you to create your own materials.
If your event will be promoted externally, University Marketing & Communications can provide design assistance to help promote your event. You must request graphic design services and provide all final content a minimum of three weeks before the date you would like to begin promoting your event to allow for design, approval, printing and posting. If materials are not submitted by the required date, designers may not be able to fulfill your request.
The creation and costs associated with campus event promotional materials, including printing, are the responsibility of the division, college or other entity organizing the event.
University Marketing & Communications can provide design assistance in the creation of the following promotional materials:
- Event poster/flyer: A poster or flyer used to promote your event on bulletin boards around campus. Artwork is sent to Rider’s on-campus print center and delivered to your specified location. For pricing and other printing info, email [email protected]. For specific information and guidelines for placing posters around campus, contact the Office of Campus Life at [email protected].
- Rider News advertisement: A paid advertisement in the University’s student newspaper, The Rider News. Please contact The Rider News for more on advertising rates, publication dates for the current academic year, advertising-acceptability, payment policies, contract forms, and more. Once the ad has been finalized, it is the responsibility of the college, division or other entity organizing the event to coordinate placement, submission and payment for all ads.
- 107.7 The Bronc sponsorship: Paid underwriting may be available the University’s student radio station, 107.7 The Bronc. The radio station also offers DJ appearances and live broadcasting services for campus events for an hourly rate. For more information about underwriting and other promotional opportunities, contact John Mozes. It is the responsibility of the college, division or other entity organizing the event to coordinate placement, submission and payment for all underwriting or appearance fees.
- Website event calendar graphic/photo: A visual accompaniment for your listing on the events and performances calendar on Rider’s website. Once the graphic has been finalized, it is the responsibility of the college, division or other entity organizing the event to coordinate placement of graphic on the website via a Helpdesk request.
Registration form
Requiring advance registration by event attendees via a web form helps you evaluate the number of people who are expected to attend and lets you collect their email addresses for follow-up communications. Web forms can be created through a secure Google Form, Qualtrics or other platforms of your choosing using your Rider email address. Contact OIT for technology assistance.
Google Group communication
Rider University maintains three Google Groups which may be used to relay general campus information to the Rider community. All faculty, staff and students are subscribed to one or more of these lists, as appropriate per your status as employee and/or student, but members may choose to change their membership in this groups (set to digest mode, unsubscribe, etc.). Only approved users may send messages to the announcement groups. For more information, please contact OIT's Technology Helpdesk.
BroncNation event calendar
Students access BroncNation to find on campus events. Follow the instructions in the BroncNation guide to publicize your event on the platform.
Rider.edu events calendar
Submit a Helpdesk request with your event information (name, description, date/time, registration form) to have your event included in the rider.edu events and performances calendar.
Public relations
For events that are open to the public or suitable for external press coverage, you may request a press release to inform the media. Submitting a request does not automatically guarantee services.
Photography
If you would like an official University photographer to attend your event, complete the photographer request form a minimum of three weeks in advance of your date. Please note that completing this form does not guarantee the photographer can attend your event.
